Trainly Privacy Policy
Effective date: November 1, 2026
Last updated: November 1, 2026
Version française : trainlyfitness.com/fr/privacy
Trainly is operated by Trainly Fitness Inc. (“Trainly”, “we”, “us”, “our”), a corporation incorporated under the Canada Business Corporations Act, with its registered office in Calgary, Alberta, Canada. This policy explains what personal information the Trainly app and website (together, “Trainly”) collect, why, who we share it with, how long we keep it, and the choices and rights you have.
It applies to everyone who uses Trainly, including members, trainers and coaches, gyms, studios and facilities, and clubs. It should be read with our Terms of Use.
Questions or requests: support@trainlyfitness.com (see section 13).
1. Summary
We collect what you give us to run your account, your training log and the social features, plus a small amount of technical information needed to deliver the service.
We do not sell your personal information. We do not share it for targeted or cross-context behavioural advertising. We do not use third-party advertising or analytics trackers.
We do not collect your precise location, your contacts, or advertising identifiers.
You choose who sees your posts and workouts when you sign up; accounts of anyone under 18 start private. You can delete your account in the app at any time.
Nothing is tracked or profiled by default, or at all: no advertising profile, no location tracking, no tracking cookies. Deleted data is gone from our backups within 30 days.
2. Information you give us
Account and sign-in. Your email address and password. Sign-in is handled by our authentication provider, Clerk, which also sends verification codes to your email. We never see your password.
Profile. Your username, display name, profile photo, bio, account type (Individual, Professional, Organization or Club) and the word you use to describe yourself (for example Athlete, Runner, Trainer, Gym or Club). Also, if you choose to add them, your pronouns, country, the gyms you train at, the city you show next to your gym, and whether you offer online coaching.
Date of birth and sex. If you are signing up as an individual or a professional, we ask for your date of birth. We use it to confirm you are old enough to use Trainly, and it is not shown to other people. Telling us your sex is optional, and you can choose “Not specified”. If you give it, we use it so that records boards and filters compare like with like.
What is required. To create an account you must give:
an email address and a password;
a username and a display name;
your account type;
your date of birth (for individuals and professionals).
Everything else is optional. Leaving it out only means the feature that uses it won’t work for you.
Training and health-related information. Workouts, exercises, sets, reps, weights, times, distances, workout length and labels, notes and descriptions, templates and scheduled workouts, personal records, streaks, and rest and streak-freeze days. If you import your history from another app (for example a file exported from Hevy), we store the workouts in that file. In some places, information about your exercise may be considered health information. We use it only to provide the features you use, as described in section 4.
Where the app asks for your bodyweight (for example, to count bodyweight exercises), the figure stays on your phone and is not sent to our servers.
Content you post. Photos and videos, captions, stories, comments, reactions, tags and topics, posts you make together with someone else, and messages you send to other users.
Social activity. Who you follow, follow requests, who you block or mute, saved posts, the people you work out with, challenges and duels you join, clubs you join and the “vibe” ratings you give them, busyness ratings you give gyms, gyms you invite to Trainly, and reports you file about content or accounts.
Bookings, classes and attendance. Sessions you request or book with trainers, changes to those bookings, classes you register for, and reviews you leave after a session. We also keep an attendance record, so that both sides of a booking can be answered fairly if something goes wrong. It covers:
check-ins;
the single-use codes used to confirm a session or a gym visit;
cancellations and no-show reports;
disputes, and their outcomes.
Trainer and business information. If you use Trainly as a trainer, gym, studio or club, also: your services and offerings, classes and schedules, closed days, staff and team links, and coaching clients.
Purchases. If you buy Trainly PRO or another in-app purchase, Apple processes the payment. We receive confirmation of:
what you bought;
the product and transaction identifiers;
when your subscription period starts and ends.
We never receive your card or bank details.
Messages to us. Anything you send to support, and gym verification requests.
Information other people give us about you. Other users may give us information about you when they:
tag you, mention you, or make a post together with you;
invite you to work out together;
comment on or react to your posts and workouts;
review a session they had with you;
report your content or account;
report that you missed a booked session.
Trainers and gyms may also record your attendance at their sessions and classes.
3. Information collected automatically
Push notification token. A device token, so we can send you the notifications you allow. You can turn notifications off in your phone’s settings.
Workout in progress. While you are logging a workout, we record that one is running and when it was last active. People you follow and who follow you back can then invite you to train together. This is cleared when the workout ends, or after a few hours of no activity.
Technical and log information. Your IP address, the time of each request, and basic information about the request and any error. We use this to operate and secure the service, for example to limit abuse such as too many attempts in a minute. It is kept in our hosting provider’s short-term logs. Our logs are set up to leave out message text, passwords and similar content.
Stories you view. When you view a story, its author can see that you viewed it.
From Apple. If you have agreed in your iPhone’s settings to share analytics with app developers, Apple gives us statistics about app installs, usage and crashes. We use them to see how the app is performing. You can turn this off under Settings → Privacy & Security → Analytics & Improvements.
Test versions. If you test a pre-release version of Trainly through Apple’s TestFlight, Apple shares with us:
your name and email address, if we invited you by email;
crash reports;
any feedback and screenshots you choose to send.
Phone permissions. Trainly asks for these only when you use the feature that needs them, and you can turn each one off in your phone’s settings:
Photos: to choose pictures and videos to post.
Camera: to take a photo or video for a post.
Microphone: to record sound with a video.
Notifications: to send you the alerts you allow.
Trainly sees only the photos and videos you pick, not the rest of your library.
Stored on your phone. Some things are kept on your phone so the app works, and are never sent to us:
your sign-in session, kept in your phone’s secure storage;
your settings and preferences;
your recent searches;
your bodyweight;
your exercise notes and machine settings;
the details of a workout you’re still logging, until you save it (only the fact that a workout is running is sent to us, as described above).
While a workout is running, it can show on your lock screen, where anyone holding your phone can see it.
Location. The Trainly app does not request access to your device’s location and does not collect your precise location. Where you train is what you choose to put on your profile and your workouts. When a trainer or gym sets up a check-in point, the location of that point is the business’s, not yours.
What we don’t use. We do not use cookies or similar tracking technologies in the app. We do not use third-party advertising, analytics or crash-reporting software development kits (SDKs). We do not use advertising identifiers. We do not track you across other companies’ apps or websites. Because we do not sell or share personal information for advertising, there is nothing for a “Do Not Track” or Global Privacy Control signal to switch off.
Our website. trainlyfitness.com is built and hosted on Framer. When you visit it, Framer may record basic visit information, such as your IP address, browser and the pages you view, to run the site and give us visit statistics. We do not use advertising cookies or tracking pixels on the website.
4. How we use your information
We use your information only for these purposes:
To provide Trainly:
your account, profile, training log, records and streaks;
the feed, stories, comments and messages;
bookings, classes and attendance;
challenges, clubs and notifications;
imports from other apps.
To show your content to the people you choose, according to your account’s privacy setting (see section 5).
To calculate shared features:
records boards and attendance boards (you can keep yourself off attendance boards in Settings);
challenge results;
gym busyness (an average of members’ recent ratings);
club vibe ratings.
To keep Trainly safe and fair:
preventing spam, scams, fraud and abuse;
checking for workout figures that are physically implausible and letting you ask for a review;
reviewing reports;
enforcing our Terms (see “Safety checks on messages” below).
To support the booking protection: cancellation windows, no-show reports and disputes, and the free sessions and gym days that come with PRO.
To communicate with you: answering your messages and telling you about changes to the service or these policies. We do not send marketing email.
To improve Trainly, for example learning which gyms members want on Trainly from gym invites, which we look at as counts.
To comply with law, respond to lawful requests, and establish, exercise or defend legal claims.
How your feed works. The Following, Discover and My gym feeds show posts newest first. The only filtering is:
privacy settings;
blocks and mutes;
the gyms you train at (for My gym);
boosted posts (see section 5).
We do not rank your feed by predicting what you’ll engage with.
No AI training. We do not use your information to train artificial intelligence models.
Reviewing messages. People on our team do not read your messages as a matter of course. We may review a conversation when:
it is needed to investigate a report or a safety concern;
the safety checks below flag it;
the law requires it.
Safety checks on messages. To protect members and trainers who meet through Trainly, messages between a member and a trainer are checked automatically before they are sent:
What is checked: contact details (such as phone numbers, email addresses, links and social media handles), and attempts to arrange a booking outside Trainly. Talking about how a session will be paid for is allowed while Trainly does not take payment.
If a message is held: it is not delivered. You are asked to edit it, and we keep a record of the held message, including its text.
Repeated attempts: these can lead to a warning, or to a person on our team reviewing the conversation.
What is not checked: messages between other kinds of accounts.
No automated decision suspends an account on its own. A person makes that decision.
Content hidden after reports. If several different people report the same post, story or comment (three for a serious reason such as sexual content or self-harm, five for any reason), it is hidden automatically from everyone except you until a person on our team reviews it. We tell you when this happens. If the reports are not upheld, it comes back. You can see every decision about your account and appeal it in Settings → Account status, or write to support@trainlyfitness.com.
Legal bases (where the law requires one). Where privacy laws such as the GDPR apply, we rely on:
performing our contract with you, to provide Trainly;
our legitimate interests, to keep Trainly safe, secure and working, and to improve it;
your consent, for push notifications and for health-related information you choose to log (you can withdraw consent at any time; this does not affect what we did before you withdrew it);
legal obligations.
5. What other people can see
Always visible to anyone on Trainly:
your username, display name, profile photo, account type and flair;
your bio;
the gyms and city you choose to show.
Depending on your privacy setting:
your posts, stories, workouts, records, workout streak, followers and following;
a public account shows these to everyone on Trainly;
a private account shows them only to followers you approve;
you choose at signup who can see your posts. Accounts belonging to anyone under 18 start private; other accounts start public unless you choose private. You can change it at any time in Settings.
Profiles and posts are seen only inside the Trainly app. We do not publish them on the web or make them available to search engines. Your profile photo is stored at a long, hard-to-guess web address so that it can load in the app; anyone who is given that address can open it.
Comments and reactions you leave can be seen by anyone who can see that post or workout.
Records and attendance boards. A gym’s, trainer’s or club’s page can show your name and your records from sessions you logged there or with them, and how often you train there. You can keep yourself off attendance boards in Settings. To have a record taken off a page’s records board, ask us at support@trainlyfitness.com.
Busyness ratings are shown only as an average for the gym, never with your name.
“Other gym” on a workout is shown only to you.
If you work out together with someone, each of you appears on the others’ workout cards.
Bookings and messages are visible to the other person in that booking or conversation. Session reviews are shared with the trainer or business they are about.
Boosted posts. A gym can pay to show one of its posts to more people. Boosted posts are shown to people who list that gym, or a gym near it, on their profile. The gym does not receive your personal information.
Anything you make visible to others can be seen, copied or screenshotted by them. Please think before you share.
If you choose to share sensitive information in your posts, bio or messages, others can see it according to your settings, for example:
your health;
your religion;
your sexual orientation;
your ethnicity.
We don’t ask for this information, and we never use it for advertising.
6. Who we share it with
Service providers. We share personal information only with providers who run parts of Trainly for us. They may use it only to provide their service to us, under contracts that require them to protect it:
Clerk, Inc.: Sign-in, account security, verification emails (where data may be processed: United States)
Railway Corporation: Hosting our servers and database (where data may be processed: United States)
Cloudflare, Inc. (R2 and Stream): Storing and delivering photos and videos (where data may be processed: United States and Cloudflare’s global network)
Expo (650 Industries, Inc.): Delivering push notifications and app updates (where data may be processed: United States)
Framer B.V.: Hosting our website (where data may be processed: Netherlands, United States and Framer’s global network)
Apple Inc.: App distribution, in-app payments, iPhone notifications, app analytics and TestFlight test versions (where data may be processed: United States and elsewhere)
RevenueCat, Inc.: Managing subscription status (where data may be processed: United States)
Other users. We share what section 5 describes, according to your settings.
For legal reasons. We may disclose information:
if we believe in good faith that the law requires it;
to respond to valid legal process;
to protect anyone’s safety;
to investigate fraud or abuse;
to enforce our Terms.
Business transfers. If Trainly is involved in a merger, acquisition, financing or sale of assets, information may be transferred as part of that deal. The receiver must keep protecting it as this policy describes.
With your direction. For example, when you share a link or invite a gym.
We do not sell personal information. We do not “share” it for cross-context behavioural advertising, as California law uses that term.
7. Where your information is stored
Trainly is based in Canada, and our service providers store and process information in the United States and other countries. This includes information about people in Quebec and elsewhere in Canada. Information stored outside your province or country is subject to the laws there, and authorities there may be able to access it. We choose providers that protect information to a standard comparable to Canadian law, and we bind them by contract to do so.
8. How long we keep it
While your account is open, we keep your information to provide Trainly. You can delete individual posts, stories, workouts and messages at any time.
Stories disappear from view after 24 hours.
When you delete your account (Settings → Delete account):
your sign-in is removed;
your profile, training data, posts, stories, comments, messages, bookings and other content are deleted from our live systems straight away;
your photos and videos are queued and deleted from storage shortly after;
deleted information is gone from our backups within 30 days.
What we keep:
reports you filed about others, with your name removed;
information we must keep by law;
information needed to resolve an open dispute or safety investigation, for as long as that takes.
Technical logs are kept for a short period and then deleted by our hosting provider.
Emails to support are kept in our support inbox so that we can follow up and improve our help. Deleting your account does not delete them automatically. Ask us and we will delete them, unless we need them for an open issue or by law.
Copies we can’t reach. We can’t delete copies other people made, such as screenshots, or things you shared outside Trainly yourself.
9. Your choices and rights
In the app, at any time:
See and correct your profile in Edit profile and Settings.
Make your account private; block or mute people; keep yourself off attendance boards.
Turn notifications off in your phone’s settings.
Delete your posts, workouts and messages, or your whole account.
See any decision we made about your account or content after reports, and appeal it, in Settings → Account status.
By asking us. Email support@trainlyfitness.com to:
ask what personal information we hold about you and get a copy, in a commonly used format where the law gives you that right;
correct it;
delete it;
withdraw consent;
ask how it has been used or shared;
object to or restrict a use;
make a complaint.
We will respond within 30 days, or sooner if your local law requires. We may need to confirm your identity first, usually by asking you to write from the email on your account. We will not treat you differently for using your rights.
Canada. You have rights under the Personal Information Protection and Electronic Documents Act (PIPEDA) and, where it applies, Alberta’s Personal Information Protection Act. You may complain to the Office of the Privacy Commissioner of Canada or to Alberta’s Information and Privacy Commissioner.
Quebec. Under Quebec’s Act respecting the protection of personal information in the private sector, you also have the right:
to have your information given to you, or to an organization you name, in a structured, commonly used technological format;
to ask us to stop disseminating your information, or to de-index any hyperlink attached to your name, where the law allows;
to be told about information stored outside Quebec, as described in section 7.
You may complain to the Commission d’accès à l’information du Québec.
United States. Depending on your state, the following may give you rights to know, access, correct, delete and port your personal information, and to opt out of its sale, targeted advertising and certain profiling:
the California Consumer Privacy Act as amended (CCPA);
other state privacy laws (for example in Colorado, Connecticut, Virginia, Texas and Oregon);
Washington’s My Health My Data Act.
We extend these rights to all US users, whether or not a particular law applies to us. In particular:
We do not sell or share personal information, and do not use it for targeted advertising or for profiling that has legal or similarly significant effects. So there is nothing to opt out of.
Sensitive information: we use health-related information and your sex only to provide the features you use, and never for advertising.
Agents: you may use an authorised agent to make a request for you. We may ask the agent for proof of authority and ask you to verify your identity.
Appeals: if we decline your request, you can appeal by replying to our answer. If the appeal is refused, you can contact your state’s attorney general.
California “Shine the Light”: we do not disclose personal information to third parties for their own direct marketing.
Categories. In the last 12 months we have collected the categories of personal information described in sections 2 and 3:
identifiers;
customer records;
characteristics such as age and sex;
commercial information (purchases);
internet activity within Trainly;
photos and videos;
fitness and health-related information;
inferences such as personal records.
We disclosed these for business purposes only to the service providers in section 6, and to other users as section 5 describes. We sold or shared none of them.
Consumer health data. Our Consumer Health Data Privacy Policy explains how we handle health-related data under Washington’s My Health My Data Act and similar laws in Nevada and Connecticut.
European Economic Area, United Kingdom and Switzerland. Trainly is aimed at Canada and the United States. If you use it from these places, you have rights under the GDPR or UK GDPR:
access, correction, deletion, restriction, portability and objection;
withdrawing consent;
complaining to your local data protection authority.
10. Children
Trainly is not for anyone under 13, and we ask for date of birth at signup to block them. We do not knowingly collect personal information from children under 13. If we learn that we have, we will delete it. If you believe a child under 13 has an account, contact us at support@trainlyfitness.com.
If you are 13 or older but under the age of majority where you live, please use Trainly with a parent’s or guardian’s permission.
Quebec. Quebec law requires a parent’s or tutor’s consent before personal information about anyone under 14 is collected. If you live in Quebec and are under 14, you may use Trainly only once a parent or tutor has agreed to our Terms and this policy for you.
Accounts belonging to anyone under 18 start private, so only followers they approve see their posts and workouts.
11. Security
We protect personal information with:
encryption in transit;
access controls that limit who on our team can see it;
reputable providers with their own security programmes;
removing location and other hidden details (such as the phone model and the time taken) from photos before they are published;
links to photos in posts that work only for people allowed to see the post, and that expire after a few hours.
No method of transmission or storage is perfectly secure. Use a strong, unique password and keep your phone locked. If a breach creates a real risk of significant harm to you, we will notify you and the relevant regulators as the law requires.
12. Changes to this policy
We may update this policy as Trainly changes. If a change is significant, we will tell you in the app before it takes effect, and update the “Last updated” date above. Where the law requires your consent to a change, we will ask for it.
